Terms of Service

These terms are an agreement between you and CedarBell (“we”). They cover the CedarBell web application and the installable app, at cedarbell.app. By creating an account or using the service you accept them. If you are accepting on behalf of a school, you confirm you have authority to do so.

Who uses CedarBell

Schools subscribe, set up their staff, children and guardians, and control their own data.
Staff are invited by a school and act on its behalf.
Guardians are invited by a school to see and act for the children linked to them.

You must be at least 18 to hold an account. Keep your login private and tell your school at once if you think someone else has used it.

The school’s responsibilities

The school is responsible for the accuracy of what it enters, for having the right to share children’s information with the guardians it invites, for its own licensing and record-keeping obligations, and for the conduct of its staff on the service. CedarBell is a tool; it does not replace the school’s own judgment about attendance, safety or who may collect a child.

Acceptable use

You agree not to:

Access information about children or families you are not authorised to see, or attempt to get around the service’s access rules.
Use the service to harass anyone, or to send messages unrelated to the care and education of the children involved.
Upload content that is unlawful, or that you do not have the right to share.
Interfere with the service, probe it for weaknesses without our written permission, or resell it.

Electronic signatures and records

Forms signed in CedarBell are electronic records and signatures. By signing you agree that they have the same effect as a handwritten signature, and that the document as shown at signing is the document you agreed to. We store that version unaltered together with the time of signing, and both the school and the signer can download a copy. You may ask your school for a paper copy at any time.

Subscriptions

Schools choose a plan and are billed monthly or yearly in advance through Stripe. Plans have student caps and feature limits shown at the time of purchase. A school may change or cancel its plan at any time from Settings; cancellation takes effect at the end of the paid period and no partial refunds are given for that period. We may change prices with at least 30 days’ notice. The Free plan costs nothing for as long as a school stays within its limits, and converts to a paid plan only when the school chooses one.

Tuition and fee payments

Schools may use CedarBell to collect tuition and fees from guardians. Payments are processed by Stripe, and by paying you also agree to Stripe’s terms. The school sets the amounts, due dates and its own refund policy; disputes about a charge are between the guardian and the school, and we will assist with records. If you save a card for automatic payment you authorise charges for fees the school assigns to your child until you remove the card or your school turns autopay off.

Notifications

Schools and guardians choose how they receive notices: in the app, by email, by text message or by push. Message and data rates from your carrier may apply to text messages. Reply STOP to any text to opt out; emergency notices from your school may still be delivered in the app.

Your content

Schools, staff and guardians keep ownership of what they post. You give us the licence needed to store, display and transmit it to the people your school has authorised, and to make backups. We do not use your content for advertising or to train models.

Availability and changes

We work to keep the service available and will give notice of planned maintenance where practical, but we do not guarantee uninterrupted access. We may improve or change features over time; if a change materially reduces what a paid plan includes, we will tell schools in advance.

Disclaimers and liability

The service is provided “as is”. To the fullest extent the law allows, we disclaim implied warranties, and our total liability to you for any claim arising from the service is limited to the amount the school paid us in the 12 months before the claim. We are not liable for indirect losses, or for decisions a school makes using information in the service. Nothing here limits liability that cannot be limited by law.

Termination

A school may close its account at any time. We may suspend or end access for serious or repeated breaches of these terms, or where required by law, and will explain why unless the law prevents it. On closure the school may export its records; we then delete data as set out in the Privacy Policy.

Governing law

These terms are governed by the laws of the State of [State], United States, and disputes will be heard in its courts, unless the law of your location gives you rights that cannot be waived.

Changes to these terms

We may update these terms. When we do, we will change the effective date above and notify schools through the app at least 14 days before a material change takes effect. Continued use after that date means you accept the new terms.
